How Brivity Closes the Open House Gap Between Effort and Results

Brivity Open House App displaying agent stats: 34 open houses, 120 attendees, and 85 leads captured

Forty-eight percent of homebuyers visit open houses. That’s just about half of every buyer in the market walking into homes, meeting agents, and deciding who they want to work with.

And most agents are running those events with a paper sign-in sheet, a mental note to follow up, and no visibility into what’s working across their team. NAR’s 2025 Member Profile puts a number on it: 65% of agents report zero business from open houses in the past year.

Brivity’s open house tools are built to close that gap, before the first visitor walks in, during the event, and long after the signs come down. Here’s what they handle, and what that means for your business.

Nearly half of all buyers walk through open houses.

Two-thirds of agents walk away from open houses with nothing.

At the core, that gap is missing infrastructure.

Capture Every Sign-In, Even When the WiFi Doesn’t Cooperate

Ryan Randall, a nine-year veteran of The Ben Kinney Team, shares his take on Open Houses in the Do This Podcast. He puts the standard plainly: “I feel like I could get three-fourths to four-fifths of the people to sign in.” Ryan has no shortage of skill, but what’s doing the heavy lifting here is having a system that removes every excuse not to.

Brivity built the Open House App (iOS and Android) to capture every sign-in, even when the property’s WiFi doesn’t cooperate. This real estate lead capture works offline. Every sign-in is stored locally on your device and automatically syncs to your Brivity CRM the moment you reconnect. You don’t lose a single lead because the property’s WiFi was down.

For agents who want attendees to sign in on their own devices, the Brivity Open House Web Portal automatically generates a QR code with every event you create. Display it at the door, on signage throughout the home, or share the direct link via text and social before the event. Guests scan, sign in, and flow directly into your CRM.

When setting up your event, you choose the lead capture type based on your goals:

  • Full Registration collects name, phone, and email. The right call when lead quality matters more than volume
  • Light Registration reduces friction for high-traffic events or casual visitors where you want to capture as many sign-ins as possible
  • Virtual Registration is available for online events via the /openhouse URL shortcut on any Brivity IDX listing page

Key to success

The app includes a PIN lock that prevents attendees from navigating away from the sign-in form. Your tablet stays a sign-in station, not a browsing device.

Your Best Open House Leads Are Already in Your Database

Reverse prospecting surfaces the leads already in your database before you ever open the doors.
Before your open house, search your existing contacts for leads whose saved criteria match the listing: price range, location, property type. Brivity surfaces those matches in seconds. You now have a warm call list of people who have already raised their hands for a home like the one you’re holding open.

Across the teams that use reverse prospecting consistently, the average contacts-to-appointment ratio is 17:1. For every 17 contacts, an appointment is made. Bob Stewart, who coaches some of the largest teams in the Brivity ecosystem, notes that one team finds the buyer for 30% of their own listings by matching buyers already in their database using Brivity’s reverse prospecting feature.

Ryan’s take on this: “You have people in your database who have raised their hand and said ‘I’ve looked at a house in Bellingham between $500,000 and $700,000,’ and you have a listing for $600,000 in Bellingham. Why are you not calling them?”

For agents who want to extend their platform further, Brivity Opportunities adds neighborhood homeowner data to support circle prospecting around the listing, helping you build a consistent pipeline before the competition calls.

Ryan’s personal standard before a weekend open house: 150 circle prospecting dials to neighbors, with a simple script.

“Hey, I don’t know if you’ve seen my sign down the street, but I’m listing 123 J Street. I’m just giving a quick call to the neighbors, inviting you to the open house, and seeing if anybody else was curious or had thoughts of moving this year.”

His take on neighbors: “They own homes. Why would you not want a neighbor to come to your open house?”
When you have an open house, every neighbor has a reason to hear from you. Every call, door knock, and social post has a purpose.

Follow-Up That Moves Before You’ve Left the Driveway

Brivity’s Auto Plans mean your follow-up is already moving before you’ve finished picking up signs. When an attendee signs in and meets your follow-up criteria, an Auto Plan triggers: a pre-built sequence of texts, emails, and call tasks. Ryan’s standard is a text within an hour of the event ending with his contact information and a single question. “Any other homes you’d like to see?” or “Want me to get you a value on your place?”

Listing Alerts are auto-configured for attendees who want to stay informed on similar properties. Your call task for each lead is already queued before you’ve finished picking up signs.

There’s also a layer of intelligence built into the tagging. When an attendee indicates they’re already working with an agent, Brivity automatically removes the Open House and openhouseapp tags and applies Has Agent – Yes. No Auto Plan fires. No follow-up sequence triggers. You don’t accidentally pursue someone else’s client, and you don’t waste outreach on someone who won’t convert.

For attendees without an agent, the tags apply, the Auto Plan launches, and your follow-up is moving before you’ve left the driveway.

“Let the Auto Plan do the work. I just follow the Auto Plan. I try to make it as simple as possible.”

Brivity Recognizes Who’s Already in Your Database

When an existing contact walks through the door and signs in, a lock icon appears next to their name in the Brivity Open House App. You know immediately this person is already in the system. If they’re assigned to another team member, their details are locked to the agent running the event. Admins retain full visibility across the entire team.

Key to success

Leads who sign in through the app also route automatically to the agent hosting the event, not through the team’s general lead routing rules. The person running the open house gets the lead. Clean, no disputes.

Full Visibility for Team Leaders Without a Single Check-In Call

The Brivity Open House Dashboard gives team leaders a real-time view across every event their agents run, without a single check-in call required. Total open houses, total attendees, leads captured, and average leads per open house, all filterable by agent and timeframe. Click into any individual event to see lead details: who attended, their buying or selling intent, their timeline, whether they have an agent, and their last interaction.

From that same view, you can launch a call directly to a lead without leaving the dashboard.

For teams where operations staff handle setup, admins can create and configure open houses in the dashboard on behalf of agents before the event. Agents show up with everything already in place.

Open houses logged outside the app also count. If an agent ran an event without using the app, they can manually log it in the dashboard, and it appears alongside app-tracked data in your team’s activity reporting. The picture stays complete regardless of how the event was run.

Put Every Minute of the Open House to Work

Every hour at the property is prospecting time, whether or not there are visitors at the door.

Brivity GO gives real estate agents full CRM access from their phone. During a quiet stretch, you can text, email, and call leads directly from your database without stepping away from the property. Ryan’s take: “Go shoot 20 texts and 20 emails out while nobody’s there and you just did half your lead gen for the day.”

Open House Marketing Made Easy

Before the event, Brivity’s Marketing Suite handles promotion. Create and schedule social media graphics, Facebook posts, and branded QR code sign-in sheets to print and display at the home, all from inside the platform. Ryan posts every listing to Facebook regardless of engagement: “I would get random sphere messages from people who had never interacted with my posts.” The open house is the reason. The post is the touchpoint.

Frequently Asked Questions

  • What is the Brivity Open House App? It is a mobile app (iOS and Android) that lets real estate agents manage open house sign-ins, capture lead information, and sync attendee data directly to Brivity CRM. It works offline and stores data locally when WiFi isn’t available.
  • Does the App work without WiFi? Yes. The app stores all sign-in data locally on the device when offline and automatically syncs to Brivity CRM once an internet connection is restored. Setup requires an internet connection, but the event itself can run without one.
  • How does Brivity automate follow-up? When an attendee signs in and indicates they don’t have an agent, Brivity applies tags that trigger a pre-built Auto Plan: a sequence of texts, emails, and call tasks. The first text can go out within an hour of the event ending. Leads who already have an agent are tagged separately, and no follow-up sequence fires for them.
  • What is reverse prospecting in Brivity? Reverse prospecting lets you search your existing Brivity database for leads whose saved criteria (price range, location, property type) match a specific listing. It surfaces a call list of people who have already expressed interest in homes like the one you’re holding open. Teams using this consistently see appointments on average every 17 contacts.
  • What’s the difference between Full and Light registration? Full registration requires name, phone, and email before submitting. Light registration collects only name and email and is designed for high-traffic events where reducing friction matters more than capturing a phone number upfront.
  • Can team leaders track open house activity across all agents in Brivity? Yes. The dashboard in Brivity’s Reporting section shows total open houses, attendees, leads, and average leads per event across the team, filterable by agent and timeframe. Admins can also create these on behalf of agents and log activity manually alongside app-tracked events.
  • Can I run a virtual open house in Brivity? Yes. By adding /openhouse to any listing page URL on a Brivity IDX website and selecting Virtual Registration, you can create a registration form for an online event. Share the link via email, social media, or text and attendees register to receive your virtual open house details. All registrations flow into Brivity CRM.
